Conditions

By enrolling in The Star Project, you agree to the following Terms and Conditions. These outline your rights and
responsibilities and help us deliver a safe, inspiring, and professionally run theatre experience for every child.
Membership & Payment Terms
1. Payment Schedule
Monthly subscriptions are collected automatically on the 1st of each month.
Annual payments must be made in full at the time of enrolment.
2. Membership Fee and Fee Structure
A £19.99 annual membership fee is charged each September (per child).
This covers masterclasses, progress reports, and 1-to-1 check-ins.
The membership fee is waived for families who choose the annual payment option.
2. Fee Structure
•The Star Project operates for 42 teaching weeks per year, excluding approximately 10 weeks of school holidays when no classes run.
•Fees for these 42 weeks are spread evenly across 12 months to provide consistent, manageable payments.
•This means that each monthly subscription is charged for Main Project £75 + VAT (£90), regardless of the number of sessions that fall within that particular calendar month.
•Pro-rata adjustments may apply if enrolment begins after the 1st of the month, to ensure fees align correctly with the subscription schedule.
3. Show & Kit Fees
A separate Show Fee will apply for performances to cover costumes and related expenses (typically £15–£50 depending on the production).
Kit purchases (uniform, etc.) are payable separately.
Workshop weeks may include additional fees: £5 per person for tickets and £10 per person for a welcome goodie bag, which includes a workshop t-shirt.
4. VAT
From September 2025, VAT (currently 20%) is applied to all fees in line with HMRC regulations.
This is a statutory requirement and not a fee increase from The Star Project.
Cancellations, Refunds & Notice
5. Cancellations & Notice Period
Subscriptions may be cancelled at any time with
4 weeks’ written notice.
Notice must be emailed to
info@thestarproject.info
with
“Notice to End Subscription”
in the subject line.
Cancellations are not permitted between May–July
due to performance commitments.
If a child leaves mid-year, a final pro-rata invoice will be issued (some months have 5 weeks).
6. Refund Policy
No refunds are given for missed classes due to illness, holidays, or other commitments.
In the unlikely event The Star Project cancels classes (outside of scheduled holidays), a credit will be applied.
No refunds or credits will be given if you do not attend a course or workshop after payment.
A £10 admin fee may be deducted for refunds processed via PayPal or BACS.
Attendance, Absence & Lateness
7. Attendance
Children must arrive at least 5 minutes early, ready to line up.
Latecomers must wait until an appropriate time to enter the class.
Students arriving 15+ minutes late may not be admitted.
Good attendance is essential. Students missing 3+ sessions per term without reason may lose their place.
8. Illness & Injury
Children must not attend if unwell or carrying a contagious illness.
This includes: Chickenpox, Head Lice, Flu, Common Cold, or COVID-19 symptoms.
Follow all government guidance regarding self-isolation.
A health declaration may be required before returning.
Supervision & Child Safety
9. Supervision While On Site
Children are always supervised while on the premises.
Toilet breaks are monitored by staff or class assistants.
Students must ask permission before leaving class.
10. Child Collection & Late Pick-Up
Children must be collected promptly at the end of class.
Late collection charges apply:
5+ minutes: No charge
10+ minutes: £5
20+ minutes: £15
30+ minutes: £30
45+ minutes: £40
60+ minutes: £60
If a child is left more than 1.5 hours, charges double and social services may be contacted.
If no parent/guardian is reachable, and no adult is available to stay, the child may be taken to the nearest
police station.
Uniform & Behaviour
11. Uniform
All students must wear:
Top
: The Star Project t-shirt or vest.
Bottom
: Plain black leggings or tracksuit bottoms (no jeans, dresses, trousers, or skirts).
Shoes
: Black jazz shoes or black soft plimsolls, with black socks.
Strictly no logos or branded clothing
from other
dance or theatre schools.
All uniform must be clearly labelled.
No jewellery is allowed (including earrings).
Hair must be tied back from the face.
12. Second-Hand & Donations
Second-hand shoes and clothing may be available at discounted prices.
Donations of quality dancewear are welcome and may be resold or lent to students in need.
Behaviour & Code of Conduct
13. Code of Conduct
Racist, sexist, or offensive language or behaviour will not be tolerated.
The Star Project reserves the right to terminate membership
without notice
for breaches of conduct.
Behaviour of all staff, parents, and students must align with our company Code of Conduct.
No pets are allowed on the premises due to health and safety regulations.
Shows, Bookings & Priority Enrolment
14. Performances
Parents/carers may be invited to one class or show per term.
Star Project provides costumes and props where possible.
Parents may be asked to provide basic accessories or contribute to the costume/show fee.
15. Booking & Enrolment
No drop-in classes are available; all sessions must be booked in advance.
New students may join mid-term if space allows and with management approval.
16. Priority Booking
A 2-week priority booking window is given to current students before general enrolment opens.

17. Waiting List
Waiting list places are offered in order.
The first family to confirm receives the place.
18. Commitment to Place
Subscriptions must be active by
1st September
to secure a child’s place.
Unconfirmed spaces after this date may be offered to the waiting list.

Online Classes, Severe Weather & Force Majeure
20. Online Provision
In the event of
severe weather
or
force majeure
, a
virtual class may be scheduled
in place of the in-person class.
No refunds or credits
will be offered in this situation.
In the case of government-mandated closures, classes will be delivered via video conferencing.
If a child is isolating but well, they may attend virtually.
If unwell and unable to attend, the session will be considered missed with no refund.
Legal & Liability
21. Legal & Safety Responsibilities
The Star Project is not responsible for any loss or damage to personal belongings.
We accept no liability for injuries sustained while participating in classes.
Parents must notify us of any changes to the child’s information or medical details.
Our Staff
22. Qualified & Trained Team
All staff, including cover teachers, are DBS checked and experienced.
Volunteers and placement trainees are also DBS checked.
A qualified first aider is always on site.
Payment Conditions & Late Payment
23. Payment Policy
Full payment must be received before the start of term to secure your child’s place.
Failure to pay may result in loss of place or restricted access to classes.
Non-payment may be referred to a
debt collection agency.
Fee Increases
24. Price Changes
Fees may increase yearly in line with inflation and business costs.
The Star Project may not provide individual notice of fee changes.

How we store and share data
•Personal data is kept securely.
•We may share information with trusted service providers (e.g., payment processors, IT systems) where necessary to deliver our services.
•We may also share data if required by law (e.g., safeguarding concerns, insurers, regulators).
•We never sell personal data to third parties.
How long we keep data
•Student records: normally kept for 5 years after a child leaves, in line with safeguarding and legal guidance.
•Financial records: kept for at least 6 years for tax and accounting purposes.
•Photos/videos: kept only for as long as we have parental consent.
Your rights
You have the right to:
•Access a copy of your or your child’s personal data.
•Request correction or deletion of data.
•Withdraw consent (where processing is based on consent, e.g. marketing or photos).
•Object to or restrict how we use personal data.
•Make a complaint to the Information Commissioner’s Office (ICO) if you’re unhappy with how we handle data.

Child Protection & Safeguarding Policy

1. Policy Statement
The Star Project Theatre School is committed to safeguarding and promoting the welfare of
all children and young people in our care. We believe that:
The safety and wellbeing of children is our highest priority.
All children, regardless of age, disability, gender identity, race, religion or belief, sex, or
sexual orientation, have the right to equal protection from harm.
Safeguarding is everyone’s responsibility.
This policy applies to all staff, volunteers, franchisees, contractors, and anyone working on behalf of The Star Project.
2. Legal Framework
This policy is based on the following legislation and statutory guidance:

3. Safeguarding Leadership
Designated Safeguarding Leads (DSLs): Jo Payne and Shannon Lee
Deputy DSL: Nancy Ling
The DSLs are responsible for:
Receiving safeguarding concerns and acting on them.
Liaising with local safeguarding partners (Local Authority Children’s Services, LADO, police).
Ensuring staff safeguarding training is up to date.
4. Categories of Abuse
In line with statutory guidance, abuse may include:
Physical abuse – hitting, shaking, poisoning, burning, or otherwise causing harm.
Emotional abuse – persistent emotional ill-treatment such as rejection, humiliation, or bullying.
Sexual abuse – involving a child in sexual activity (physical or online), grooming, or exploitation.
Neglect – persistent failure to meet a child’s basic needs for food, shelter, safety, or supervision.
Other safeguarding concerns – including child sexual exploitation (CSE), child criminal exploitation (CCE), domestic abuse, online abuse, peer-on-peer abuse, and harmful sexual behaviour.
5. Staff Code of Conduct
Staff must maintain professional boundaries with all students.
Any physical contact must be safe, necessary, and explained (e.g., supporting a movement or preventing injury).
Staff must not use sexualised or suggestive language, behaviour, or humour.
Staff must never engage in private contact with students via social media, text, or personal email.
No member of staff should ever be alone with a child where they cannot be observed, except in an emergency.
6. Safer Recruitment
All
staff, chaperones, and volunteers will undergo enhanced DBS checks before working with children.
References and identity checks will be carried out in line with safer recruitment guidance.
All staff will receive safeguarding induction training before starting work.
7. Reporting Concerns
Any staff member with a concern about a child must report it immediately to the DSL or Deputy DSL.
Concerns must be recorded in writing, signed and dated.
If a child is in immediate danger, staff should call 999.
If the concern relates to a staff member, the DSL must notify the Local Authority Designated Officer (LADO).
8. Confidentiality & Record Keeping
Safeguarding records will be stored securely and separately from other records.
Information will only be shared with those who need to know, in line with GDPR and safeguarding law.
Children will be informed when information about them needs to be shared, unless doing so places them at further risk.
9. Safer Environment
Children must always be treated with dignity and respect.
Inappropriate comments, sexual innuendo, or discriminatory language are strictly prohibited.
Photography, filming, or publicity use of children’s images will only take place with written parental consent.
Online platforms, livestreams, and digital communications must follow safeguarding best practice.
10. Monitoring & Review
This
policy will be reviewed annually, or sooner if legislation or safeguarding guidance changes.
All staff and franchisees must confirm in writing that they have read, understood, and agree to follow this policy.
